Main Festival Vendor Terms & Conditions

Please read the following carefully before proceeding with your application. By submitting this application, you acknowledge and agree to the below terms and conditions.

1. Application Process
Applications close on 25 July.
Successful applicants will be notified by 1 August.
Submission of an application does not guarantee approval. All applications are subject to organiser review and event suitability.

2. Payment Terms
All approved vendors must ensure payment is received in full before 1 September.
No late payments will be accepted. Any approved stall not paid by this deadline will be disqualified and removed from the event allocation list.

3. Trading Requirement
Approved vendors are required to trade for both festival days, 25 and 26 September.
Vendors may not trade for one day only unless agreed to in writing by the organisers.

4. Setup Times
Main Festival setup will take place on Thursday, 24 September from 12h00 to 18h00.
No late arrivals will be permitted unless arranged in writing with the organisers beforehand.

5. Electricity
Electricity supplied, where selected and approved, will be 220V single phase only.
Vendors requiring electricity must bring their own extension cords of up to 50 metres.

6. Cooking & Fire Safety
No open flames or braais will be allowed.
Only gas braaiers and approved gas cooking equipment may be used.

7. Beverage & Brand Exclusivity
No alcohol, beverages, cold drinks, bottled water, energy drinks or similar beverages may be sold from any food or market stall.
Beverage sales are exclusively reserved for official festival sponsors and appointed beverage partners.
Any vendor found selling beverages without written approval may be removed from the event without refund.

8. Compliance Documents
Vendors must provide any required food handling, trading, health or compliance certificates where applicable.

9. Fire Extinguishers
Vendors using gas or cooking equipment must have a suitable and serviced fire extinguisher present at their stall.

10. Stall Allocation & Setup Responsibility
Stall positions will be allocated by the organisers and are final.
Vendors are responsible for their own gazebos, tables, lighting, branding, extension cords and setup equipment.

11. Product Suitability
The organisers reserve the right to limit duplicate product categories and may refuse applications that do not align with the event mix.

12. Cleanliness
Vendors must keep the area around their stall clean and hygienic at all times.

13. Breakdown
No early pitch-downs or departures will be allowed before the official close of trading unless approved by the organisers.

14. Liability
Vendors trade at their own risk and are responsible for their own stock, staff and equipment.

15. Organiser Rights
The festival organisers reserve the right to amend layouts, stall placement and operating times where required.

Rugby Kit Design

Submit your rugby kit design idea below. Once received, our Vision Sports design team will review your concept and begin working on your custom kit.

Design Agreement

By submitting this form you acknowledge that:

  • All logos and artwork must be uploaded with your submission.
  • A maximum of 3 design concepts may be submitted per team.
  • Each design includes up to 3 revisions.
  • Additional design concepts or revisions will incur a R350 design fee per revision.
  • AI-generated designs are considered inspiration and final garments may differ slightly from the concept.
  • Teams are responsible for supplying correct sponsor logos and permissions.
  • Colours may vary slightly between screen and printed garment.
  • Once a design is approved, it will be considered final for production.
